The client

Everis, formerly C2Dx, is a 50-person medical device and pharmaceutical distributor based in Schoolcraft, Michigan. It sells capital equipment and recurring disposables to healthcare providers, running sales in HubSpot and fulfillment and invoicing in Microsoft Dynamics 365 Business Central.

The challenge

HubSpot and Business Central had no connection or shared identifier, so matching a quote to a shipped order meant checking both systems by hand. Customer Support typed signed POs into HubSpot and phoned Sales with shipment updates. Deal stages reflected whatever a rep last set manually rather than what had shipped, making pipeline reports unreliable.

The solution

01Data model on the standard Deal object

The full quote-to-shipment lifecycle stays on HubSpot's native Deal object, avoiding a custom object and keeping native permissions and reporting.

02Shared PO Number identifier

A PO Number property on each deal ties it to the exact Business Central sales order it became.

03Field mapping for Commercient middleware

Accounts, Ship-tos, Contacts, Invoices, Invoice Details and Account Ownership were mapped so Commercient's near-real-time sync could run against a documented model.

04Two-way automations

Logging a PO in HubSpot creates a Business Central sales order, and marking that order shipped moves the HubSpot deal to Closed/Won.

The results

Manual PO entry and status phone calls were replaced by a handoff that updates itself in both directions. Deal stages now mirror real shipments, invoice data flows back into HubSpot, and reps can answer shipment questions from the deal record. Sales and Customer Support work from the same order status, and the documented mapping makes future extensions easier to scope.
